How to Organize Your Life with Better Calendar Management

Where possible block 2 hours every week, and do a weekly review, where you check all your calendar entries, to-do lists, projects, inboxes, messages, etc.

One way that has helped me the most was finding a way centralise everything into one digital tool (like Notion → check out my templates if you want to get a copy of the system that I use).

Here’s how to do it:

  • Choose one digital calendar tool that syncs across devices.
  • Transfer all your events into this calendar.
  • Get rid of your other calendars. I threw out my paper calendar to avoid any confusion.
  • Make sure your calendar is accessible on all your devices.

Dad Hack: Do this while the kids are watching their favorite show. It takes about 30 minutes to set up, and you’ll finally have one source of truth for your schedule.

Step 2: Sync Family and Work Schedules

Having a centralized calendar is great, but it’s useless if it doesn’t include everyone’s schedules. I used to miss my wife’s late work meetings because I didn’t have her schedule, which led to chaos at home. Syncing family and work schedules ensures everyone is on the same page, reducing stress and miscommunication.

Here’s how to sync:

  • Share your calendar with your spouse. I gave my wife access to my Google Calendar so she can see my schedule.
  • Add family events together. We sit down every Sunday to input the kids’ activities, like ballet practice or doctor appointments.
  • Color-code events for clarity. I use blue for work, green for family, and red for Hybrid Dad tasks.
  • Set reminders for overlapping events. I get a 1-hour heads-up if I need to adjust plans, like if my wife has a late meeting.

I used to let my day run me, jumping between tasks with no plan, which left me feeling scattered. Time-blocking helps you prioritize what matters and ensures you’re not overcommitting.

  • Identify your key priorities for the day. I block time for work and family each day.
  • Assign specific hours for each priority.
  • Include buffer time for unexpected interruptions. I leave 15-30 minutes between blocks in case of a quick task that needs urgent attention or a meeting runs over.
  • Treat your blocks like unbreakable appointments. I stick to them as much as possible to stay on track.

Step 4: Review Your Calendar Daily

A calendar only works if you actually use it. I used to set up my schedule and then forget to check it, which led to missed commitments and last-minute scrambles. Reviewing your calendar daily keeps you on track and helps you adjust as needed.

Here’s how to review:

  • Spend 5 minutes each evening looking at tomorrow’s schedule. I do this after bed-time stories while the kids are falling asleep.
  • Confirm reminders are set for important events. I make sure I have alerts for things like school pickups or work calls.
  • Mentally prepare for the day. I visualize how I’ll handle my blocks, which helps me feel ready.

Discipline is crucial for staying organized, especially if you struggle with follow-through like some of the dads I work with. I used to forget tasks because I relied on my memory, but reminders keep me accountable and ensure I don’t miss a beat.
